Success Is… Taking Responsibility in Corporate Management
Compliance
Flottweg is dedicated to the highest ethical standards. Our guidelines emphasize the respect for human dignity, fair and safe working conditions, and equal opportunities. This includes fair remuneration, the avoidance of any form of discrimination, the respect for internationally recognized human rights, and a clear commitment to safe working conditions.
Our core values – competence, responsibility and respect – form the basis of our daily activities. They shape our leadership, cooperation and responsibility towards both our employees and business partners.
Occupational safety is an integral part of our corporate culture. We promote an active culture of safety, regular instruction and the continuous improvement of our occupational safety management.
Data protection and information security are core components of our approach to compliance. We undertake to comply with all legal requirements, particularly the GDPR.
Our processes ensure confidentiality, integrity and the availability of information. This includes technical and organizational measures such as access controls, encryption, network monitoring and regular audits.
Information security is a top priority at Flottweg. We consistently protect our data, systems and business processes against unauthorized access, loss and misuse. To this end, we rely on clear rules, modern safety standards and responsible corporate culture.
All of our employees contribute to this: through careful handling of information, reliable processes and regular awareness of safety issues. In this way, we ensure the confidentiality, integrity and availability of our information – and ensure that Flottweg remains a trustworthy and reliable partner worldwide.
We continuously raise awareness of cybersecurity risks among our employees and ensure a high level of security through general training courses, phishing training and the implementation of guidelines.
Flottweg has the AEO status (Authorized Economic Operator) and thus fulfills the highest requirements for security, reliability and transparency in the international trade of goods. The AEO status is a key element of the EU security concept and represents audited processes along the entire supply chain – from internal organization through to customs clearance and the physical movement of goods.
Our supply chain security is based on clearly structured and documented processes. These include in-depth risk analyses, the assessment of safety issues and adherence to clear customs, export and safety guidelines, as set out in our Corporate Guidelines. We ensure that all the relevant steps – from the incoming goods to the storage and shipping, through to the international distribution – are comprehensible, secure and compliant.
An essential part of our responsibility is working with reliable and integral partners. We therefore ensure that our suppliers and service providers also comply with the ethical and legal standards. This is ensured through integrity requirements, regular quality and security audits, commitment to our Code of Conduct and, depending on the risk, audits and reviews of their processes and governance structures.
With this structured and responsible approach, we ensure that our supply chain remains secure, transparent and resilient always – worldwide and across all business areas.
Flottweg meets all the relevant requirements of the German Foreign Trade and Payments Act (AWG), the German Foreign Trade and Payments Regulation (AWV) and the EU Dual-Use Ordinance, regulating which goods, technologies or software may be exported or transferred. Export controls are designed to minimize security risks, comply with embargoes and sanctions, and meet international obligations.
Export controls not only relate to physical goods, but also the transfer of technology and know-how - for example by email, cloud, video meeting or personal discussion. We therefore examine every export case, regardless of whether it is a complete system, a replacement component or technical information.
Our internal export control processes follow a structured Internal Compliance Program (ICP) and include several mandatory audit steps:
Product classification: Check as to whether products or components are controlled under the EU Dual-Use Regulation or the national export list.
Sanctions and embargo checks: Cross-checking of the destination country, recipient and end-user against EU, UN and country-specific sanctions and internal Flottweg lists.
Final destination check: Obtaining and analyzing final destination documentation to ensure that our products are not misused or re-exported.
All employees who prepare, accompany or carry out exports are obliged to comply with the requirements of the Flottweg ICP. Our structured proceeding ensures that we act in accordance with the law, transparently and responsibly - while at the same time being able to supply our customers safely and reliably worldwide.
The prevention of corruption is an essential part of our ethical stance. Flottweg pursues a zero-tolerance policy towards bribery and corruption.
Our system includes clear rules on gifts, invitations, sponsorship, third-party audits and appropriate business interactions. At Flottweg, it is strictly prohibited to demand, offer or accept material or immaterial advantages in dealings with business partners, public officials, or other third parties involved in business processes if this could create the impression of wishing to influence business decisions. Similarly, such people may never be granted, promised or offered personal financial enrichment to obtain an order, to secure a transaction or to procure any other undue benefit to Flottweg.
Conflicts of interest are situations in which personal interests could influence business decisions. We expect employees to openly address and avoid any such conflicts.
All our employees are required to act in the best interests of the company and make decisions objectively and transparently.
Money laundering refers to the introduction of illegally generated financial resources into the legal finance and economic cycle with the purpose of making them appear legal and to obscure their actual origin. Flottweg meets the requirements for the prevention of money laundering with a structured and risk-oriented approach. This includes systematic risk analysis, the evaluation of business relationships, and the continuous monitoring of relevant transactions. We ensure that payment methods are traceable and clearly documented and implement measures to detect unusual or difficult to trace cash flows at an early stage.
Our business partners are audited as part of a clearly defined due diligence process. This includes, inter-alia, identity and plausibility checks, transparency requirements and, in risk-relevant cases, a detailed assessment of their corporate structure and beneficial owners. Only if all the legal and internal requirements have been met, a business relationship wil be established or continued. This approach supports the integrity of our business processes and protects Flottweg and our partner companies from financial and reputational risks.
The German Supply Chain Due Diligence Act (LkSG), which was adopted on July 16, 2021, and entered into force on January 1, 2023, regulates the due diligence obligations for the prevention of violations of human rights that companies are required to fulfill.
In principle, the requirements for due diligence are addressed to companies that meet the following requirements:
- the company is based in Germany
- the number of employees in Germany is over 1,000 (up to 2024, the limit being 3,000 employees)
It may be assumed that these conditions could change in the years to come, however, if the German Government adapts the LkSG in accordance with the requirements of the EU Supply Chain Directive (CSDDD).
Although Flottweg does not (yet) fall within the scope of the LkSG, we have nevertheless implemented some of the requirements of the LkSG in recent years and expect them to be implemented by our business partners within our supply chain. The expectations we address towards our business partners and employees are detailed in our Policy statement. We have also developed a Supplier Code of Conduct specifically for our suppliers, which provides the basis for our business relationships.
Our whistleblower platform allows for the confidential and, if preferred, anonymous reporting of violations. It can be found at the following link.
The platform is generally aimed at all people who wish to report a violation. This includes, for example, employees, service providers, contractors and suppliers.
We protect all whistleblowers and ensure that every report is objectively examined and treated fairly. For this purpose, personal data will only be made available to a restricted group of persons, who will check the incoming reports. It is also possible to submit a report anonymously, though.
You can find all relevant information about our reporting system, which violations may be reported, the exact procedure for reports received or other information in our Rules of Procedure.
